Sound familiar?

VAT quarter sneaking up again?

For most Devon business owners, VAT returns are not complicated — they are just easy to let slip. Bookkeeping falls behind, the quarter ends sooner than expected, and the return gets filed in a rush from incomplete records. Over time, that means missed input tax claims, a growing sense that the numbers might not be right, and a nagging question about whether you have crossed the registration threshold without realising it.

  • VAT returns filed in a rush because bookkeeping is always behind
  • Input tax claims missed due to disorganised or incomplete VAT records
  • No clear picture of your VAT liability until the deadline arrives

What a sorted VAT position looks like

With DG Accountancy, your books are kept current throughout the quarter in Xero, so the return is largely prepared before the deadline is in sight. You know your VAT position in advance, every input tax claim is captured, and the filing goes in on time without a last-minute scramble.

  • Books current throughout the quarter — return prepared well before deadline
  • VAT records organised in Xero so no input tax claim is left behind
  • VAT liability visible in advance — no surprises when the quarter closes
  • Fixed monthly fee, agreed upfront — no unexpected bills for extra hours

I worked with Daniel at DG Accountancy to review and sign off my sole trader accounts for a time-sensitive mortgage application, and the service was excellent. Daniel was extremely responsive, clear, and professional throughout. He understood exactly what the lender required, turned everything around very quickly without cutting corners. Communication was straightforward and reassuring, which made a potentially stressful part of the mortgage process much easier. Fees were transparent, turnaround was fast, and the work was done thoroughly and accurately. I wouldn’t hesitate to recommend Daniel to anyone needing reliable accountancy support, particularly where deadlines really matter.

What you get

What the VAT service covers

VAT compliance is more than filing a form every quarter. Here is what is handled as part of the service.

01

Quarterly VAT Returns Filed On Time

Your VAT return is prepared from up-to-date Xero records and submitted to HMRC before the deadline, every quarter. All input and output tax is reviewed before filing so the figures are accurate, not approximate. You receive confirmation once filed and a plain-English summary of what was submitted.

Included as standard
02

Making Tax Digital Via Xero

HMRC requires VAT-registered businesses to file under Making Tax Digital using compatible software. Xero handles that automatically, and your bank feeds connect directly so transactions are captured in near real time. No manual data entry, no bridging software, no MTD headaches.

03

VAT Registration and Scheme Advice

Whether you are approaching the registration threshold, considering voluntary registration, or unsure which VAT scheme suits your turnover and cash flow, that conversation is included. The flat rate scheme, cash accounting scheme and annual accounting scheme each suit different business types — you will know which one applies to yours.

Saved Money, Now Handles Monthly Books

“Daniel was very helpful with my books and tax return. He offered great advise and insight in how to manage my books better and more efficiently. His knowledge in tax law and what can be used for expenses really helped with saving money where I could. As a sole trader it’s really hard to keep on top of things and have now asked Dan to do monthly books for me. His rates are extremely good compared to some other accountants out there and I get more for my money.”

Why DG Accountancy

Why Devon businesses choose DG Accountancy for VAT

There are plenty of accountants who will file your VAT return. Fewer will keep you genuinely informed throughout the quarter.

📋

No VAT Threshold Surprises

Your rolling twelve-month turnover is monitored as part of the bookkeeping service. If you are approaching the £90,000 registration threshold, you will know about it with time to plan — not the week after you crossed it. Registration obligations do not creep up when the records are current.

Questions Answered the Day You Ask

DG Accountancy is known for fast replies. Whether it is a quick query about whether a particular purchase is VAT-reclaimable or a more involved question about partial exemption, you will not wait days for an answer. Accounting questions that sit unanswered tend to become problems.

☁️

MTD-Ready From Day One

Everything runs through Xero, which is fully HMRC-recognised for Making Tax Digital for VAT. Bank feeds connect automatically, transactions are categorised in real time, and your VAT position is visible in the software whenever you need to check it. No bridging spreadsheets, no last-minute exports.

Getting started

Up and running in four steps

Most clients are fully onboarded within a week. The process is designed to be straightforward, with as little effort on your side as possible.

1

Book a free discovery call

A short conversation about your business, your current VAT position and what you need from an accountant. No sales pitch — just an honest discussion about whether DG Accountancy is the right fit. You will leave the call knowing exactly what happens next.

2

Receive your fixed-fee quote

You will receive a clear, written quote covering VAT returns and any other services required. Everything is agreed upfront — no hidden hourly rates, no charges for the phone calls you should be making. The fee does not change quarter to quarter.

3

Xero set up and connected

Your Xero account is set up (or tidied up if one already exists), bank feeds are connected, and your VAT settings are configured correctly for your scheme and period. The heavy lifting is handled on this side.

4

Compliance runs, you focus elsewhere

Your quarterly returns go in on time without you chasing or checking. Your VAT liability is visible in advance. Less time watching the deadline approach and considerably less to think about — which is, frankly, the way it should be.

Questions

Things people usually ask about VAT

Do you handle different VAT schemes, or just standard quarterly returns?+

Standard quarterly filing is the most common, but DG Accountancy also works with the flat rate scheme, cash accounting scheme and annual accounting scheme. Which one is appropriate depends on your turnover, cash flow timing and sector — that conversation is part of the onboarding process, not an add-on. If your current scheme is no longer the most suitable one, that will be flagged.

What does the VAT return service cost?+

VAT filing is included from the Operate tier of the Limited Company packages (from £195 per month) and in the higher Sole Trader package (from £99 per month). For Start-tier limited company clients, VAT is available as an add-on. All fees are fixed, agreed upfront, and do not vary based on how many transactions there are or how many questions you ask.

My VAT records are behind — can you still help?+

Yes, and it is more common than most people expect. Catch-up bookkeeping is offered as a separate piece of work to bring records current before moving onto ongoing monthly or quarterly support. The cost of catch-up depends on how many periods need addressing and the volume of transactions involved. A clear quote is provided before any work begins.

Is there a minimum contract or long-term commitment?+

No long-term contract. The service runs on a rolling monthly basis and you can leave with reasonable notice. If you decide it is not working after a few months, you leave with your Xero records fully up to date and nothing outstanding. The intention is to earn the ongoing relationship, not to lock you into one.

What do I need to do to comply with Making Tax Digital for VAT?+

All VAT-registered businesses must file under MTD using HMRC-recognised software. Xero meets that requirement and is set up as part of onboarding, so there is nothing further to arrange on your side. Businesses that are currently using spreadsheets or manual records will be migrated across. HMRC correspondence relating to MTD compliance is handled as part of the service.

Can I see what my VAT bill will be before the quarter ends?+

Yes. Because bookkeeping is maintained throughout the quarter in Xero, your estimated VAT liability is visible at any point — not just when the return is prepared. That means you can plan cash flow accordingly rather than setting aside a rough estimate and hoping it is close. For businesses with variable turnover, that visibility is worth having.
